Getting started with Capita
To send files for translation to Ciklopea, you first have to log in to your wpml.org account, and download and install the following plugins on your website:
- WPML Multilingual CMS: the core plugin.
- WPML Translation Management: this plugin will allow you to connect to Ciklopea.
- WPML String Translation: this plugin will enable you to translate interface strings.
As soon as you get access to your wpml.org account, you may refer to our detailed step-by-step guide on how to download and install WPML. Please remember to register your site to receive automatic updates and gain access to Ciklopea’s services.
Connecting your site to Capita
Once all required plugins are installed, you need to provide some information that will allow you to connect with WPML and Capita. That information is a username, password, customer name, and contact name.
You should receive those data from Capita after creating a new account. If you do not have one, please contact Capita using the information from this site – https://www.capitatranslationinterpreting.com/about-us/contact-us/.
Activating and authenticating Capita
As soon as you have all the necessary data, log in to your WordPress dashboard and open WPML -> Translation Management. After that, switch to the Translation Services tab.
Scroll down to the Available Translation Services section, and click Activate below the Capita description.
Wait for the page to reload. After that, you will see Capita at the top of the page. Please click the Authenticate button.
A popup will appear. Fill the necessary fields with values from the Capita site. When you have finished, click the Submit button.
Congratulations! Your WordPress site is now connected with Capita, and you are ready to start translating your website.
Sending content for translation
To start the translation process, go to WPML -> Translation Management
Select the pages you want to translate by clicking the checkboxes in the first column. Next, select the target languages by checking the boxes, and click the Add to translation basket button.
When the page reloads, you will see a new tab at the top of the page called Translation Basket. On this tab, a list of all the items (posts, pages, and strings) and languages you have added to the basket will appear.
Here, you can verify the content you wish to translate, remove posts and pages mistakenly added, and change the “Batch name”; the “Batch name” will be visible on the Translation Jobs tab and will help you find projects. When you are ready, just click the Send all items for translation button to send everything to Capita.
When this is done, you will see a short confirmation message at the bottom of the page.
It will take a few seconds to deliver your content to Capita, and you should receive an email notification.
Now you can visit the request page on the Capita Dashboard to verify if everything was sent correctly. To do this, you can click on Go to this request link from the email.
If you have not received the email, please go to WPML > Translation Management and click on the Translation Jobs tab at the top of the page. When you click on Batch name, you will be redirected to the project page on the Capita website.
Receiving completed translations
When the translations are ready, Capita will send an email notification to you. It means that the translations are ready to be delivered to your website.
Checking for completed translations
To download completed translations go to WPML -> Translation Management and visit Translation Jobs.
Locate the batch you want to download, and click the Synchronize status button.
Having your completed translations delivered to your site
Depending on your configuration, translations will be delivered automatically, or they can be manually fetched from your WordPress admin panel.
To check the configuration settings, go to WPML -> Translations Management and switch to the Multilingual Content Setup tab. Scroll down or click on the Translation pickup mode link below the tabs, and see what option is selected.
The option “Translation Service will deliver translations automatically using XML-RPC” means that, as soon as a translation is ready, it will be delivered to your website automatically.
The option “The site will fetch translations manually” means that completed translations can be downloaded from the Translations Dashboard (WPML->Translation Management) using the Check status and get translations button at the top of the page.
Canceling translation jobs
A started project cannot be canceled by you, neither from WPML nor from the Capita admin panel. Only Capita support can help you with this. To cancel the project, please contact them directly. When the project is canceled, you will see it disappeared from your Capita dashboard.
Now you can synchronize canceled jobs with WPML by clicking on the Synchronize status button on WPML’s Translation Jobs tab next to the selected batch.
Depending on your Translation pickup mode configuration, the status will be synchronized either automatically or manually after you have checked for completed translations using the Get completed translations button from the Translation Dashboard tab.
Therefore, if you have the option “Translation Service will deliver translations automatically using XML-RPC” selected, there is no need for you to do anything more at this point except wait for delivery.
If you have the option “The site will fetch translations manually” selected, then you will need to click on the Check status and get translations button.
As a result, WPML should remove all jobs belonging to canceled batches from the Translation Jobs tab.
Please, remember that you cannot manually delete jobs from the Translation Jobs tab on your website. You must first contact Capita and then synchronize the batch status in WPML.
